There are privacy issues to consider when requesting proof of employment, whether for yourself or for someone else. Many human resource departments have complicated procedures in order to release proof of employment, while others are very informal. Regardless, you must follow all of the steps required by the human resources department in order to receive the information you need in a timely manner.


  1. Call the human resources department where the person works. Many companies require a request for proof of employment to be submitted in writing. Make sure you obtain all of the information necessary for properly submitting your request. If mistakes are made during the request process, you may have to start from the beginning.

  2. Fill out any paperwork required by the company in question. This paperwork may include a release form for the person about whom you are requesting information. If you are requesting proof of employment for yourself, you still need to fill out the release form so that the company has all of the information it needs to process your request.

  3. Submit your request via the method preferred by the human resources department. Some may allow you to email or fax the required information, while others may prefer standard postal mail. By asking which method the human resources department prefers, you may be able to shave some of the time off of your request and get the proof of employment more quickly.

  4. Follow up with your request to make sure that the human resources department received your request and has all of the information that it requires. If your request needs additional information, submit that information as quickly as possible.
